# Sim Mailer (/chat/mailer)

Sim Mailer gives an enabled workspace an email address. Send or forward a message to submit a task; its subject, body, and successfully prepared attachments become the prompt. Sim normally replies in the email thread with the result and a link to the conversation.

## Requirements \[#requirements]

A workspace **Admin** configures the inbox. On Sim Cloud, availability follows the workspace's Max or Enterprise plan and active billing, rather than the sender's individual plan.

On self-hosted deployments, availability depends on configured Chat and email services. `INBOX_ENABLED` or billing-disabled configuration can allow access, but the required Chat service key must still be configured. See [self-hosted environment variables](/platform/self-hosting/environment-variables).

Members keep their own workspace permissions when submitting email tasks. An allowed external email sender can submit read-only tasks; allowlisting does not grant workspace membership, workflow execution, mutation access, or raw-secret access.

## Enable the inbox \[#getting-started]

1. Open **Settings** → **Inbox**.
2. Switch the inbox to **On** and choose **Enable**. You can supply an **Email prefix** or leave it blank to generate one.
3. Copy the address shown under **Sim's email**.
4. Configure allowed senders and secret access before submitting tasks that need workspace context.
5. Send a test message, then inspect its status and conversation in **Inbox**.

The prefix is customizable. The domain comes from the deployment's email configuration and is not selected in this control; use the address shown in **Inbox**.

Note:

Changing the address creates a new inbox. The old address stops accepting tasks immediately. Update any forwarding rules or saved contacts that use it.

Use **Off** to disable the inbox. Existing conversations and task history are preserved.

## Configure allowed senders \[#allowed-senders]

Manage **Allowed senders** in **Settings** → **Inbox**:

- Workspace members are allowed by default.
- An Admin can add an external email address with an optional label, or remove it from the allowlist.

An external email sender is different from an external workspace member. The latter has access to Sim according to their workspace role without joining the organization; an email-only sender has no such membership.

Emails from unauthorized senders are rejected. Automated senders, rate limits, or loss of plan entitlement can also prevent a task from being accepted.

## Select secret access \[#select-secret-access]

Under **Secrets**, **Secret access** defaults to **All secrets**. Choose **Selected secrets** to restrict raw-secret mounts. With **Selected secrets**, choose the permitted names in the **Secrets** selector. Selecting none allows no raw-secret mounts.

This setting narrows which secrets member tasks may mount; it does not grant access to secrets the sender cannot otherwise use. External email-only senders have no raw-secret access. Configure workflow credentials separately according to their access rules.

Mailer runs without an interactive approval card. Restrict allowed senders and secret access according to the actions members should be able to request; their underlying permissions and organization policies still apply.

## Send a task \[#what-you-can-send]

Write the subject and body as a specific request:

| Email | Context |
| - | - |
| "Summarize the attached PDF and list action items." | An attached source document |
| "What is shown in this image?" | An attached image |
| "Draft a reply to this forwarded thread." | The forwarded email body |

The per-attachment hard limit is **10 MiB**. Supported images, PDFs, and documents are attached to the Chat conversation; images can display as previews. If an attachment cannot be prepared, the conversation identifies it as unavailable and keeps any successfully prepared attachments.

Attachments stay with the conversation. Ask Sim to save a copy to workspace **Files** when you need a reusable workspace file, using a member account with the required write access.

## Track tasks \[#tracking-tasks]

Open **Settings** → **Inbox** to inspect received messages:

1. Use **Search tasks...** to match a subject, sender, or body preview in the displayed tasks.
2. Choose a status from **All statuses** to filter the list.
3. Select a completed or failed task with a linked chat to open its full conversation.

### Task statuses \[#task-statuses]

| Status | Meaning |
| - | - |
| **Received** | Accepted and queued for processing |
| **Processing** | Sim is working on the task |
| **Completed** | Sim finished the task successfully; the list badge reads **Complete** |
| **Failed** | The task encountered an execution error |
| **Rejected** | The message was blocked; inspect its rejection reason |

A completed task does not prove an email reply was delivered. If a reply is missing, inspect the linked conversation and task result. Failed tasks can also have an email response describing the error.

## Continue the conversation \[#conversations]

A new email task creates a workspace conversation. You can continue it in Chat. Replies linked to an earlier email task continue its conversation when that chat is still available in the same workspace; otherwise, processing starts a new conversation.
